² Academic Competitions

I. Purpose

This Revised Edition of the Undergraduate Competition Awards Scheme is formulated with the aim of:

1. Standardizing the University's reward mechanism for student competitions; and

2. Motivating all students in their academic pursuits; and

3. Fostering students' capabilities in technological innovation and academic practice.

II. Effective Date

This revised Scheme shall take effect from the year 2026.

III. Scope of Awards

1. The scope of awards under this Scheme shall be defined by an official list of eligible competitions (hereinafter referred to as the "Awards List"). The Award List is approved and published annually by the Undergraduate Scholarship and Financial Aid Committee (hereinafter referred to as "the Committee").

2. Eligibility for an award is contingent solely upon the competition being included in the Awards List in force during the calendar year indicated on the award certificate.

3. The Committee shall review and update the Awards List on an annual basis. Faculties and Schools may formally nominate additional competitions for inclusion based on disciplinary development needs. Nominated competitions approved by the Committee through a centralized review process will be officially added to the Awards List and shall take effect from the following calendar year.

IV. Eligibility

Eligibility extends to full-time undergraduate students currently enrolled at Beijing Normal-Hong Kong Baptist University who win an award, either individually or as part of a team, in a competition listed in the Awards List.

V. Award Standards

A. Classification Principle

Competitions are classified into two categories according to the stature of the organizing body:

1. Category A Competitions: Applicable to competitions organized by national or international authoritative bodies (e.g., national ministries/commissions, national-level societies/associations, internationally recognized authoritative academic organizations, etc.).

2. Category B Competitions: Applicable to competitions organized by other entities (e.g., provincial-level societies, higher education institutions, enterprises, etc.).

The Committee shall determine the category of each competition based on the above principle, taking into account its academic influence, professional recognition, and alignment with the University’s strategic goals. All classifications will be specified in the annually published Awards List.

B. Monetary Award Standards

For competitions listed in the Awards List, the University shall grant a one-time monetary award to the winning student(s) according to the competition category and level of award achieved.

VI. Review and Recognition Guidelines

A. Reward Recognition

1. Award recognition under this Scheme operates on a calendar-year basis. The inaugural cycle applies to the 2026 calendar year, covering awards dated between 1 January and 31 December 2026. For subsequent years, the recognition cycle shall apply to awards dated within the respective calendar year.

2. The classification of award levels, the fact of winning, and the award date shall be determined in accordance with the official certificates or formal documents issued by the competition organizing institution.

3. Gold, silver, and bronze prizes, as well as champion, runner-up, and third place, shall be recognized as equivalent to first, second, and third prizes, respectively.

4. If a competition designates a special prize or an award higher than the gold prize/champion/first prize, such an award shall be recognized as equivalent to a first prize. No additional reward standards shall be established.

5. For competitions whose award names cannot be directly matched with the standards listed in this Scheme, the faculty that nominated the competition for inclusion in the Awards List shall propose an appropriate award level recommendation based on the competition's award structure and actual circumstances. This recommendation shall be submitted to the Committee for deliberation and final adjudication.

6. Award recognition shall, in principle, follow this Scheme. Should the Committee specify explicit restrictive provisions regarding the award scope and award standards for specific competitions in the Awards List published for a given calendar year, the provisions of the Awards List for that year shall prevail.

B. Reward Restrictions

1. If the same entry wins multiple awards in different competitions within the same calendar year, only the highest award shall be recognized and rewarded. Duplicate or cumulative rewards shall not be granted.

2. If multiple awards are received in different sub-projects, categories, or groups of the same competition (as identified in the Awards List) in one calendar year, they shall be treated as achievements from the same competition. Only the highest award shall be recorded, and a one-time award shall be granted. Duplicate or cumulative rewards shall not be granted.

3. Individual students or student teams who have already received the BNBU Innovation and Entrepreneurship Scholarship in the same calendar year shall be ineligible for this reward scheme.

4. In the event that an individual student has received disciplinary action (including written warnings or higher, or if previous disciplinary actions remain unresolved) for violating national laws or university regulations, or is found guilty of academic misconduct such as plagiarism or falsification, such student shall be ineligible for the award in the respective calendar year. If any member of a student team falls under the above circumstances, the Committee shall review the team's reward eligibility or reward standards.

C. Application and Review Process

1. Eligible individuals or teams shall independently submit the required application documents as per the guidelines.

2. The Student Affairs Office shall assess applications and submit its recommendations to the Committee for final endorsement.

3. The approved award list shall be published on the Student Affairs Office website for a minimum of three working days, which shall constitute the official and sole channel for notification. The University does not guarantee individual notification, and students are responsible for proactively checking the website for updates after submission.

D. Appeal Regulations

1. If an individual student or student team disagrees with the reward recognition results, they shall submit a written appeal to the Committee within five working days from the date the reward results are officially published.

2. The appeal must detail the grounds and be accompanied by relevant supporting evidence.

3. The Committee shall undertake a review upon receiving the appeal materials and shall notify the appellant of its final decision.

E. Application Notes

1. The Student Affairs Office shall call for and receive applications in May and December each year. Late submissions will neither be accepted nor processed.

2. Applications must include a copy of the award certificate. The list of individual students or team members applying for the competition reward must exactly match the information on the award certificate. In the event that the award certificate does not list the names of team members, additional supporting materials shall be provided.

3. The application and recognition of awards for sports competitions shall be organized separately by the Whole Person Education Centre under the School of General Education, in accordance with the specific guidelines and deadlines issued by the Centre.

VII. Disbursement and Allocation

1. For any student competition team comprising non-BNBU members, the total award amount shall be calculated based on the number of BNBU students in the team, according to the following formula:
Final Award Amount = Standard Award Amount × (Number of BNBU Students / Total Number of Team Members)
The final award amount shall be granted exclusively to the BNBU student members of the team.

2. Recognized students or teams shall receive monetary awards as the sole form of recognition. No supplementary certificates, proof of recognition, or ceremonial events shall be provided at the university level.

3. When applying for award recognition, a student team must collectively designate one of its members who is a current BNBU student as the applicant and payee. Following approval, the team award shall be disbursed into the designated payee's University-registered bank account (used for tuition fee payment). The team members shall negotiate the internal distribution of the award in accordance with mutual agreement.

4. The university assumes no liability for internal fund distribution processes or disputes arising therefrom. Any conflicts regarding award allocation shall be resolved through alternative dispute resolution mechanisms, absolving the university of related responsibilities.

VIII. Language Version Precedence

This document is available in both Chinese and English. In case of any discrepancy, ambiguity, or conflict between the two versions, the Chinese version shall prevail.

IX. Final Right of Interpretation

The University holds the ultimate authority to interpret this Awards Scheme and to make necessary adjustments to its content and implementation rules as deemed appropriate.

X. Transition Between Old and New Versions

With effect from the year 2026, the former Undergraduate Competition Awards Program (2025) is hereby repealed. All matters related to the application, recognition, review, and disbursement of awards shall be governed by the provisions of this revised edition.




Scheme for Recognizing Outstanding Achievements of University Sports Teams

² Sports Competitions

I. Purpose

This Scheme is established to:

1. Inspire student participation in athletic training and competitions;

2. Recognize athletes who bring honor to the University;

3. Promote holistic physical and mental development;

4. Cultivate a positive campus sports culture;

5. Provide a platform for showcasing athletic excellence.

II. Eligibility

Full-time undergraduate students at Beijing Normal-Hong Kong Baptist University (BNBU) who participate in sports competitions listed under the Awards List and achieve corresponding awards shall be eligible for recognition.

IV. Sports Honor Roll

The Sports Honor Roll is established to commemorate students or student teams who have achieved outstanding results in athletics. Nominations for this honor shall be proposed by team coaches and shall be reviewed by the Whole Person Education Center. Upon approval, the names of the honorees shall be permanently inscribed on the Honor Roll and duly recorded in the university's historical archives.
